Frequently asked questions

Everything you need to know about collecting memories privately via QR code.

What is FotoQR?+

FotoQR collects photos of shared experiences through one QR link. The organiser creates a gallery, participants open it on their phones and upload their pictures to a shared album without installing an app.

Does anyone need to install anything or register?+

No. Scan the QR code or open the private link to upload directly in a browser. No account or email is needed. If the paid gallery password is enabled, participants enter it before opening the gallery; if an upload password is enabled, they enter it before adding photos.

How do privacy and encryption work?+

Photos are encrypted in the browser before they are sent. The server stores only encrypted files and cannot display them. Decryption requires the private key in the QR link.

Who can see the photos?+

The organiser decides whether the gallery only collects photos or also displays them to people with the QR link. Even when viewing is enabled, the private key in the link is required. A paid expansion lets the organiser enable a gallery password, a separate upload password or photo approval, so finding a link alone may not be enough to open the gallery, add content or see it immediately.

Can the organiser approve photos before they appear?+

Yes, after activating a paid expansion. The organiser can enable photo approval, so new photos from QR guests are initially hidden. Guests see confirmation that their photo arrived, but it appears in the gallery only after the organiser publishes it.

What is the gallery password for?+

The gallery password is optional paid protection for guests. The organiser shares it separately with participants. The service stores only a one-way hash, so it cannot display or recover the password after it is set. This helps prevent someone who only obtains the link from opening the gallery or uploading. A separate upload password protects only adding photos and videos, allowing the gallery to remain viewable without it.

Can people upload after the event?+

Yes, as long as the organiser leaves uploads enabled, has not set an earlier automatic closing time, and the gallery is within its limits. Uploads can be turned off, turned on again, or the closing time cleared at any time.

How can I change gallery order and appearance?+

The organiser can show guests the newest or oldest photos first. Burgundy, sage and navy themes are free; a paid expansion adds gold, emerald and onyx. The theme does not change gallery management, the QR code, PDF or global navigation.

Can a guest add a note for the organiser?+

Yes, if the organiser enables optional notes. Guests can add one with their first upload or continue without it. The browser remembers a refusal and does not prompt automatically again. A saved note can be edited or removed later.

Only the organiser can see the note. Unlike photos, however, it is not encrypted with the gallery's private key, so it should not contain sensitive or personal information.

How does the per-guest limit work?+

The organiser can set a limit of 5, 10, 20, 50 or 100 uploads per guest. FotoQR shows how many uploads remain. Once the limit is reached, the guest cannot add more files.

Does the organiser receive notifications about new uploads?+

New galleries have a 06:00 summary enabled by default, sent to the organiser's verified email. Morning summaries at 06:00 and evening summaries at 18:00 can be enabled independently, including both. Uploads across an organiser's galleries are combined into one email at that time; it contains no photos, private links or guest notes.

What file types can be uploaded?+

The basic gallery supports photos. After activating a paid expansion, the organiser can also enable short MP4, MOV or WebM videos. The browser prepares a thumbnail and display copy. With full-quality storage enabled, it can also store the encrypted original. A paid expansion unlocks access to originals for ZIP exports and downloads.

What is the limit for one gallery?+

The basic limit is 50 photos and 7 days of validity. A paid expansion unlocks access to originals, ZIP export, guest downloads, passwords, moderation, videos, custom confirmation and more themes. With full-quality storage enabled, encrypted originals count towards the storage limit; thumbnails and smaller display copies do not.

Is FotoQR permanent photo storage?+

No. FotoQR is a temporary service for collecting and delivering event photos, not permanent storage, a backup or an archive for sensitive or irreplaceable data. Download or export any photos you want to keep before the gallery expires.

If you do not extend the gallery, it is automatically deleted when it expires and the data cannot be recovered. Paid galleries receive email warnings approximately 7 days, 3 days and 1 day before deletion; free galleries receive a warning approximately 1 day before deletion.

How much does FotoQR cost?+

The basic gallery is free: 50 photos and 7 days, with no payment card required. For more capacity or premium features, add 100 photos and 1 GB for 4.90 € including VAT, 300 photos and 3 GB for 12.90 € including VAT, 1,000 photos and 10 GB for 24.90 € including VAT, or a 30-day time extension from 3.90 € including VAT. Any paid purchase unlocks access to stored originals, ZIP export, guest downloads, passwords, approval, videos, a custom upload confirmation and more themes for that gallery.

Can the limits be increased?+

Yes. For one gallery, add 100 photos and 1 GB of storage for 4.90 € including VAT, 300 photos and 3 GB for 12.90 € including VAT, 1,000 photos and 10 GB for 24.90 € including VAT, or a 30-day time extension from 3.90 € including VAT. The time extension price depends on the gallery's current storage and is shown before payment. Every paid purchase sets validity to 30 days from purchase and unlocks premium features.

Can someone other than the organiser pay for an expansion?+

Yes. If a gallery is full or needs more time, someone with a valid QR link can buy a one-off digital expansion for that gallery. The payer buys the package for the gallery organiser, and it is activated after payment is confirmed.

The payer does not gain access to gallery management or the organiser's payment details. The organiser does not see the payer's card details. Photos remain encrypted as before the purchase.

Can I download all photos at once?+

Yes, after activating a paid expansion. The organiser can download the whole gallery as a ZIP and enable guest downloads. Because the server does not have the private key, the browser decrypts the files and builds the ZIP. With full-quality photos enabled, the ZIP includes original files; for photos without a stored original, it uses the highest-quality available display version.

Can I remove a specific photo?+

Yes. The organiser can remove inappropriate, duplicate or accidentally uploaded photos in gallery management. Deletion removes the photo's stored encrypted files.

What if I lose the QR key or private link?+

FotoQR cannot recover encrypted photos without the private key. Save the link when creating the gallery and securely print or back up the QR code.

Can my account password protect the QR key?+

Yes. If the organiser has a password-protected account, FotoQR automatically saves the QR key to the account in encrypted form when the gallery is created, without asking for the password again. The server still cannot see the unencrypted key or photos. Enter your password when logging in from another browser to unlock the key and open the gallery.

What events can I use FotoQR for?+

It works for celebrations, cabin stays, camps, school events, family trips, christenings, graduations, company events and smaller private gatherings where you want photos from several phones in one place.

What about GDPR and consent from people in photos?+

The organiser who created the gallery manages it. The organiser is responsible for obtaining any necessary consent or other appropriate legal basis and informing participants that photos may be available to others with the QR link, possibly subject to paid gallery passwords, upload passwords or downloads. FotoQR provides technical storage and sharing tools; we do not approve gallery content before upload. See Privacy policy.

How do I share the QR code with people at an event?+

Find the QR code in gallery management. Print it on cards, put it on tables, project it on a screen or send the private link. A paid expansion lets you enable a gallery password; it also appears on the QR PDF, or you can tell participants in person. The upload password is shown only to the owner in settings.

Do people need internet access?+

Yes. Opening a gallery and uploading photos requires Wi-Fi or mobile data.

How does someone enter a gallery?+

The easiest way is to scan the QR code. Anyone who received the full private link including #k=...can also use the I have a linkpage. The gallery code alone is not enough because it does not contain the encryption key.
